PULICE CONSTRUCTION, INC. POSITION DESCRIPTION SUMMARY The Estimating Administrator will assist with ensuring that all contractual provisions related to the project are followed, monitored and closed. They will provide administrative support to the Estimating Department, reporting to the Chief Estimator. PRIMARY RESPONSIBILITIES Provide bid binders to estimators working on projects and monitor website for addendums Assist with quotes, phone calls and miscellaneous duties for estimators on bid day Send out bid results company-wide and update all logs regarding bid Provide agencies with supplier list of subs/suppliers within 5-days of all bids Maintain folder for successful/unsuccessful bids with all pertinent information Collect and review subcontractor attachments to ensure information is correct, and submit for approval Create and mail out all subcontracts, purchase orders and service agreements to awarded sub/suppliers Update logs and follow up with subs/suppliers regarding agreements. Expedite, document and track all agreements from start to finish Upload subcontracts into ADOT DBE system Upload subcontracts, service and purchase agreements to Pulice’s electronic files and create files for the hard copies for all jobs Assist with submitting Estimators’ time cards to Payroll Dept for tracking hours Maintain the Insurance Log of all subcontracts for each project and keep files for insurance certificates Notify accounting of any change of payment terms Ensure all certified payroll information is sent to payroll Monitor and notify accounting of preliminary notices and lien releases Coordinate approval process and obtaining signatures Additional duties and responsibilities as assigned REQUIREMENTS 2+ years of experience with contracts Strong computer skills: Word, Excel, PowerPoint, Outlook, and Adobe Acrobat Professional Ability to multi-task and work in high pressure, deadline driven environment Strong organizational skills and very detail oriented Proactive and solution oriented Must demonstrate exceptional judgment, discretion and professional courtesy Effective oral and written communication skills and excellent interpersonal skills Notary Public in the State of Arizona preferred Pre-employment background check and drug screening required.
