SUMMARY Executive Assistant I to support a senior level executive. The ideal candidate will have strong executive presence with excellent organizational and interpersonal skills, while remaining flexible and easily adaptable to changing priorities. The ideal candidate will also have demonstrated experience interfacing with all levels of internal and external professionals, managing complex calendars and travel arrangements for senior executives and coordinating large scale meetings and events. PRIMARY RESPONSIBILITIES Interface with executives, assistants, and other internal/external professionals both nationally and internationally. Manage calendar for senior executives. Coordinate logistics for meetings, events, etc. Coordinate, prepare, and reconcile expenses. Attend the meetings with Project Executive or Management to capture meeting minutes and type them for review and approval. Administrative duties such as travel arrangements, typing letters, memorandums and correspondence; Assist with the creation/modification of presentations, spreadsheets, and other various documents. Assist in organization of project-wide events. Organize, prioritize, and summarize the content on incoming mail, calls, special requests, and meetings. Other duties as needed. REQUIREMENTS Bachelor’s degree from an accredited college or university. Minimum 3 years' experience supporting senior level executives. Polished demeanor. Strong typing skills. Strong computer skills: Word, Excel, PowerPoint, Outlook, Project Visio. Strong customer service skills. Ability to multi-task and work in high pressure environment. Strong organizational skills and very detail oriented. Proactive and solution oriented. Must demonstrate exceptional judgment, discretion, and professional courtesy.
