Principal/Essential Duties & Responsibilities OFFICE ADMINISTRATION Building Liaison: Serve as a liaison with the building. Including: After Hours Freight Elevator Reservations, Bulk Bin Requests for Garbage – request and pick up, Changing Light Bulbs, Kitchen issues, Electrical/power issues, Restrooms issues, Temperature issues and other building related issues. New Employees ID Cards and registration: Request new employees ID and new access security sticker. Update telephone list, office personnel layout drawings and employee list every month. Supervise Dragados USA conference room procedure and assist when there is a conflict or an issue with the calendar. Coordinate along with the responsible agent all aspects related with office moves of furniture, personnel, and equipment, either to relocate the office or dispose equipment. This position is responsible for one direct report. OFFICE SUPPLIES Order Office Supplies following our internal Dragados USA office supplies procedure. Monitor and follow up on invoices, included by not limited to FedEx, Piney Bowes, Rents for NY offices (9th and 6th floors), Staples, WB mason, IDS, Manhattan plants, etc.) Research and evaluate potential new office suppliers. Office supply order and replenishment of storage supplies. Research and evaluate needed kitchen supplies. Kitchen supply order and replenishment at kitchen or storage. Maintain all conference rooms in orderly fashion and replenishment of fridges. Coordinate, prepare, and reconcile the monthly Office expensive report, including but not limited to the following expenses: 810 7th Ave rent ( 9th and 6th floors ) , office supplies, plant rental, FEDEX, Coffee Distribution, Nespresso, IDS Shredding company, Pitney Bowes, etc. In case of breakdown or damage of some office components will contact to manufacturer for repair or reposition. RECEPTION DUTIES Visitors/temporary employees online log in: Employees will inform the receptionist about upcoming visitors since visitors must be pre-entered in the building system. The receptionist will add the visitor(s) using Passage Point. Act as a back-up for reception tasks in absence of the other receptionist Sort incoming/outgoing mail Greeting visitors and escort them to the appropriate conference room Answer and route all incoming calls to appropriate staff Sort and distribute all incoming and outgoing USPS mail/packages Restock/refill all pantry supplies a minimum of 2 times daily Load and unload dishwasher daily, and restack dishes and cups ORDER CATERING The catering order will need to be preapproved by the Department Executive Director that requested the catering before placing the actual order. EMERGENCY EVACUATION: Update the emergency evacuation employee list. Be part of the emergency evacuation team and coordinate, prepare, and update our emergency evacuation plan. Serve as a searcher and assist during an emergency evacuation (drill and real) REQUIREMENTS: 1-3 years of experience in similar position. Preferred Skills Bilingual Spanish – English a plus. Knowledge and experience with Word, Excel, and PowerPoint Goal oriented Strong Interpersonal Skills – able to work well and persuade people at all organization levels, work in a group environment, and foster a team approach Strong communication skills – verbal and written Organizational ability – able to plan, prioritize, organize, and monitor activities and projects.
