Summary: The Contract Specialist will assist with ensuring that all contractual provisions related to the project are followed, monitored, and closed. They will provide administrative support to the Contract team. This position will work closely with the project management team, accounting, and other functions within the project Essential Responsibilities: Contract administration support for the project. Assists with the coordination, preparation, and administration of the paperwork for negotiation, execution, and monitoring/compliance of contracts for the project. Under direction of manager, drafts contract documents and change orders with all applicable forms and requirements. Works closely with the project team to confirm overall project requirements are being achieved with respect to contract management. Under direction from manager, monitors subcontractor performance through weekly progress meetings, and notifies manager of any issue with: compliance with applicable laws, delivery schedules, payment provisions, data reporting requirements, and other contractual deliverables and requirements. Assist with forms such as Request for Sublet and Certificate for Federal Aid. Administrative management of paperwork and dates Collects subcontractor forms Maintains original hard copy files onsite for all contracts for the project. Drafts correspondence for assigned contracts. Edits and proofreads contracts Scans documents Works closely with the Accounting Department Verifies change of payment terms Coordinate approval process, obtaining signatures, scan to database Works closely with bid team Under direction from manager, gather documentation for bids and submit to other employees for review and approval Develops bid documentation and comparative matrices Qualifications: Required: Five (5) to eight (8) years of experience in a similar role Ability to negotiate/discuss general clauses Experience handling administrative work required to obtain certificates from subcontractors to properly set up accounts and perform federal reporting Preferred: Bachelor's degree preferred Strong computer skills: Word, Excel, PowerPoint, Outlook, and Adobe Acrobat Professional. Strong customer service skills. Ability to multi-task and work in high pressure, deadline driven environment. Must demonstrate exceptional judgment, discretion and professional courtesy.
