Administrative Assistant II will provide administrative support to an office, project, department or several managers. The ideal candidate will have strong organizational and interpersonal skills while remaining flexible and easily adaptable to changing priorities. The ideal candidate will also have demonstrated experience interfacing with all levels of internal and external professionals, managing complex calendars and coordinating meetings and events.




·         Interface with executives, assistants, and other internal/external professionals both nationally and internationally

·         Coordinate logistics for meetings, events, etc.

·         Coordinate, prepare and reconcile expenses

·         Assist with administrative duties such as:

-       Scheduling calendars, conferences, meetings, etc.;

-       Compiling documentation;

-       Organize files;

-       Filing;

-       Typing letters, memorandums and correspondence;

-       Maintenance of project files.

-       Assist in creation of reports and presentations

·         Assist with the creation/modification of presentations, spreadsheets, and other various documents.

·         Organize, prioritize, and summarize the content on incoming mail, calls, special requests, and meetings.

·         Other duties as needed




·         Bachelor’s degree

·         3+ years of experience supporting senior level executives

·         Strong typing skills

·         Strong computer skills: Word, Excel, PowerPoint, Outlook

·         Strong customer service skills.

·         Ability to multi-task and work in a high-pressure environment.

·         Strong organizational skills and very detail oriented.

·         Proactive and solution oriented.

·         Must demonstrate exceptional judgment, discretion, and professional courtesy.

·         Effective oral and written communication skills and excellent interpersonal skills.

·         Design and construction industry work experience is preferred.
